Administrative Assistant
- Contract: Full time / Permanent
- Working Hours: 38 hours
- Salary: Dependant on experience
- Reporting To: Stores Manager
- Location: Unit C2, 20 Heron Rd, Belfast Harbour Estate, Belfast BT3 9LE
Main Responsibilities
- Supporting the Stores Manager with the day-to-day operations of the stores.
- Supporting with a vital part of the supply chain process.
- Supporting with a vital part of the supply chain process.
- Managing processes and systems in order to ensure goods are received and dispatched appropriately and productivity targets are met.
Duties will include
- Ordering and tracking of stock
- Creating purchase orders and inputting details on Sage 50
- Sourcing materials for stores stock, projects and contracts
- Liaise with Contract Mangers regarding any queries
- Organisation of Stock and Equipment
- To facilitate the issuing and return of stock and equipment to relevant departments ensuring all is accurate upon issue and receipt.
- Maintenance of records, both paper and electronic for all movements and transactions.
- Maintaining good relationships with suppliers
Providing a comprehensive administrative service which entails;
Adhoc Duties
- Processing supplier invoices
- Handling incoming calls and recording messages for staff.
- Document production - including printing and binding as and when required.
- Filing.
- Assist with Tendering as and when required.
Essential Criteria
- GCSE English & Math's at Grade C or above.
- Good Verbal and Written Communication Skills
- Excellent Organisational Skills
- Experience with record keeping
- Excellent time management with the ability to prioritise and manage your own workload
- Hold a full driving license
Desirable Criteria
- Experience working in a similar environment
- Proficient in Microsoft Office packages and experience with SAGE 50/200
